Business Operations Assistant (Part-time)

YOUR ROLE:

You will be providing admin support for the team. This will include the process for raising, tracking and paying POs for 3rd party providers, tracking statements of work, and keeping all parties up to date with progress. You will add new vendors to the Risk center system, and also onboard and offboard new joiners, and help if there are issues with Timesheets.

YOUR TEAM:

Your team PMO; the information hub for products, projects and programmes within News UK Technology. You’ll work across our diverse portfolio of media brands, supporting the lead to ensure our delivery capability is best in class. We support teams with their financial and other reporting requirements, as well as governance oversight.

YOUR CONTRIBUTION TO SOMETHING BIG:

  • Manage the contractor process by raising POs, tracking markups, liaising with agencies, tracking payment and timesheet submissions
  • Set up new 3rd parties in the system and track set-up progress
  • Own the resource tracking process working closely with finance to ensure efficiency and quality
  • Something around timesheets
  • Assist with the on-boarding and offboarding process of new starters and leavers
  • Provide visibility and information on programme and portfolio and financial tracking
  • Produce management reports, continuously monitoring effectiveness and adapting to suit changing requirements
  • Provide suitable delivery reporting to projects and programmes as required
  • Support the PMO Manager as required
  • Assistant the PMO Manager and PMO Analysts with general day to day activities
  • Schedule meetings and other similar activities
  • Maintain accurate & timely records (systems, spreadsheets)
  • Handle confidential documentation with appropriate care

OUR IDEAL TEAMMATE HAS/IS:

  • We are looking for someone with excellent team-working and communication skills, and able to work to a deadline
  • You have good attention to detail, you’ll be inputting, collating and verifying information and working with financial systems
  • It is an advantage if you have a good understanding of Excel and/or Google Sheets or SAP
  • You are organised and able to plan effectively
  • You’ll enjoy getting down into the detail, spotting ways to improve our systems, outputs and quality of information
  • Fluent English (written & verbal).
